BOOKING & INSTALLATION POLICIES
Good celebrations
start with clear details.
The key payment, design, venue, equipment and cancellation standards for your NOX balloon booking.
IF YOUR PLANS CHANGE
Cancellation schedule
| Notice before event | Amount due / retained |
|---|---|
| 31+ days | Booking retainer retained |
| 15–30 days | 75% of contracted total |
| 8–14 days | 90% of contracted total |
| 7 days or fewer | 100% of contracted total |
Amounts already paid are credited toward the cancellation amount. Client-specific products, personalized materials, custom printing, specialty orders and approved nonrecoverable costs may remain chargeable.
Cancellation and rescheduling requests must be submitted to NOX in writing. Your signed agreement and accepted written changes govern the booking.
When is my event booked?
After NOX receives your signed agreement and required booking payment. An inquiry, estimate, invoice or unsigned proposal does not reserve the date. Formal proposals are normally valid for 7 calendar days.
When do I pay?
More than 7 days before the event: a 50% retainer, excluding refundable equipment deposits. After the 50% retainer, you may split the remaining service balance into 2 payments. The agreed schedule must complete payment no later than 7 calendar days before the event. Bookings within 7 days require 100% payment. Equipment-deposit timing is confirmed in your proposal.
How do I receive my contract and pay?
Direct NOX balloon clients receive proposals, agreements, invoices and payment requests through HoneyBook. Thumbtack balloon clients use Square for estimates, invoices and payments, while NOX coordinates the project and design process. NOX sends the appropriate booking documents and payment instructions after reviewing your request.
What design work is included?
After booking: a NOX-arranged 15-minute concept call, two complimentary mockups and up to two complimentary edits. Additional edits are $25 each; a major redesign starts at $50, with material increases separate. Final colors, personalization and major design elements lock 7 days before the event.
How do delivery and breakdown work?
Delivery is $1 per billable mile using the mapped route from NOX’s designated dispatch point, rounded up to a whole mile. Every required venue visit is its own round trip. Complimentary breakdown covers labor only. Return mileage, parking, tolls and access charges remain payable. Same-day setup and breakdown adds $50. Travel over approximately 50 one-way miles requires custom review.
What happens if the venue delays access?
A 15-minute courtesy period applies when NOX arrives at the agreed time and cannot begin because of client or venue conditions. After that, waiting is $50 per additional 30 minutes or portion. Delays over 60 minutes may require a modified installation, a return visit or cancellation of remaining work when necessary.
What is a compressed setup fee?
A $150 fee applies when fewer than two hours of access are provided for an installation originally requiring or planned for a longer setup period. It is not triggered solely because a simple installation normally takes less than two hours. NOX confirms the requirement for your scope.
Can balloons be installed outdoors?
Outdoor balloons respond to heat, sunlight, humidity, wind and rain. Outdoor longevity and unchanged appearance are not guaranteed. NOX may modify, relocate, postpone or decline unsafe installations, including at approximately 15 mph sustained winds or 20 mph gusts, or lower when site conditions require. A covered or indoor backup may be required.
What does the workmanship guarantee cover?
Installation or workmanship failures attributable to NOX during the 60 minutes after completion. It does not cover handling, unauthorized movement, guest or child damage, venue interference, weather or other conditions outside NOX control. Popping alone does not establish defective workmanship. Covered issues may be repaired or re-secured as feasible.
Who owns the frames and structures?
Reusable NOX frames, walls, stands, bases, weights and hardware remain NOX property unless your proposal expressly states otherwise. Do not move or dismantle them without approval. When equipment remains at the venue, a refundable deposit may apply: 25% of replacement value, with a $100 minimum. Higher-risk setups may require more.
When is my equipment deposit refunded?
After retrieval, NOX inspects equipment. If complete, reasonably clean and undamaged beyond ordinary wear, the refund is initiated within 3 business days after inspection. Documented damage, loss, cleaning or replacement may be deducted. Unavailable equipment may incur $50 per structure per extra calendar day plus retrieval expenses. A documented balance exceeding the deposit is due within 5 calendar days.
Can I change my date?
Request one transfer at least 14 calendar days before the original event, subject to NOX availability. The replacement event must take place within 90 days. Fee: 10% of the contracted total, $50 minimum and $150 maximum, plus approved cost differences. NOX handles calendar changes internally. A second requested transfer is treated as a cancellation and new booking unless approved otherwise.
What do I need to tell the venue?
Secure venue permission and provide restrictions at least 7 days before the event. Include wall/ceiling attachment rules, ceiling height, rigging or lift requirements, loading and parking, check-in, setup time and retrieval access. Specialty equipment and venue technicians are additional when required. Tell NOX before booking if the setting requires a latex-free environment. NOX does not offer intentional balloon releases.
Will NOX photograph the installation?
Completed décor may be photographed for portfolio use unless you opt out in writing before the event. Identifiable guests and children require separate appropriate permission for intentional promotional use. Private residential addresses are not published.
What if NOX cannot perform, or severe weather prevents service?
For a cancellation attributable solely to NOX, amounts paid for undelivered services are refunded if an acceptable substitute, reschedule or other agreed remedy cannot be arranged. For a qualifying force-majeure event, the primary remedy is one replacement date within 90 days, subject to availability and legitimate cost differences. Nonrecoverable custom materials and approved third-party costs remain allocated to the booking. Your signed agreement controls.
